Assistant Administration Officer
The Assistant Administration Officer supports the Administration Officer and the Admin/Consular Team to perform their daily tasks effectively within the Embassy of Switzerland in Addis Abeba.
Duties and competences:

Phone operator, reception and answer to simple queries.
Assistant to the Administration Officer and to the Head of Chancery.
Reception of guests coming to the Embassy for the Consular and Admin section (communication and coordination with the guards, providing drinks).
Chatworld inputs, Management and updates of the contacts database Outlook and emergency contact list
Supports the logistician and facility manager for administrative issues, through the admin officer.
Meetings: Minutes of all staff meeting, meeting room management, booking of the conference room.
Admin support for formalities, imports and exports, for incoming and outgoing diplomats
Guests/Delegation logistics (hotels, transport, meetings, reception) for Consular and Admin Team
Supports the Assistant of the Ambassador for the organization of major Embassy events, event management in general
Replacement of Admin Officer and Assistant of the Ambassador
Social media: contribution in managing Embassy’s facebook page.

The Assistant can be asked to perform other tasks by the Head of Chancery.

 
Job Requirements

Requirements & Professional Experience:

Diploma (Bachelor’s degree or above) in a relevant field such as Business Administration, Finance Management
Relevant work experience (minimum 5 years) in a private sector, civil society, government or international institution in a similar position;
Strong knowledge and understanding of administrative and financial processes, including their respective management tools;

Skills:

Excellent communication and organisational capacity;
Ability to work independently and occasionally under pressure, with minimum supervision;
High sense of personal responsibility;
Proactivity to suggest solutions and learn new skills; 
Excellent social and networking skills;
Excellent English (oral and writing) skills;
Knowledge of French or German language is an advantage
Excellent computer skills, notably Microsoft applications (Office Suite, Excel, Outlook);
Ability and interest to work within a multi-disciplinary and multi-cultural team;
High level of integrity.
