In Ethiopia, GIZ has been working for more than 40 years in bilateral cooperation on behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and on the commission of the Ethiopian government and international donors. GIZ Ethiopia is looking to recruit a Trainee in Administrative Assistance for the Biodiversity and Forest programme as specified below.

Duties and Responsibilities
The incumbent of this post has the main responsibility for the:

Contribute to the secretariat of procurement and reception
Support good communication and information flow
Learn and do filing of documents (electronic, paper)
Assist administrative tasks (e.g. reception, procurement, tickets)

Tasks
Contribute to the secretariat

To organise and coordinates appointments for the officer in charge
To reply to and look after correspondence
To prepare and organise information materials for the officer in charge
To help organise events
To document meetings, workshops, and seminars within or outside the project
To assist in the inventory elaboration of the office property
To support the inventory of procured material till the handing over
To support the handing over to the partners

 
Support good communication and information flow

To draw up regularly a list of forthcoming meetings and events
To report damage / defects on material used in the office (furniture, computers, equipment)
To follow up on maintenance and repair

 
Learn and do filing of documents (electronic, paper)

To create an address file with important contact addresses and to maintain / update the list
To help with creation and maintenance a filing system (confidentiality is an issue!)
Works actively on inventory management.

 
Assist administrative and logistic tasks (e.g. reception, procurement, tickets)

To help with the preparation of the visitor’s programmes
To draw up travel schedules
To organise transport of visitors and makes hotel and ticket reservations
To participate in internal and external (team) meetings and workshops

 
Other duties/additional tasks

performs other duties and tasks at the request of management 



Job Requirements:



Required qualification

Degree in Business administration or similar
Fresh Graduate with 0 Year Experience
Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
Good proficiency in English language is mandatory
good management and organisational skills
Customer and service-oriented attitude
Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
