WFP Ethiopia is working with the Government and humanitarian partners to strengthen the resilience of Ethiopia’s most vulnerable population and to chart a more prosperous and sustainable future for the next generation. The Country Office also supports programmes that use food assistance to empower women, transform areas affected by climate change and keep children in school. It aims to contribute to Ethiopia’s five-year development agenda, the Growth and Transformation Plan (GTP), through which the Government combats food insecurity. ORGANIZATIONAL CONTEXT This job is located in the Administration Unit of WFP Ethiopia Country Office. The incumbent under the direct supervision of the Administrative Officer will be responsible for the accountabilities identified hereunder JOB PURPOSE To coordinate and to manage WFP asset database Global Equipment Management System (GEMS) with provision of technical advices related to the asset management procedures. ACCOUNTABILITIES Verify resource requirements in the area of responsibility (Asset Management), and assist in the identification of new requirements to facilitate efficiency and cost-effectiveness of operations and services.Contribute to planning, monitoring and processing administrative actions related to procurement, finance, human resources, etc., including contracts with external vendors to ensure all data is accurately and timely recorded, processed in WFP corporate systems and any operational issues addressed.Adapt and update administrative processes, supporting the implementation of operating procedures, in order to contribute to the continuous improvement of administration services in the area of responsibility.Answer a range of queries related to the provision of administrative services in order to support the resolution of daily issues.Coordinate the activities of a team of staff working in the area, act as Country Office focal point for projects in partnership with Head Quarters, and the Regional Bureau, to ensure individual and team objectives are met in compliance with all relevant regulations, policies, and procedures, and performance plan.Record any transfer of WFP property to government counterpart (on transfer of WFP property form) and any loan of WFP inventory items to staff members (on loan form) and monitor the movement of office equipment and maintain records accordingly.Provide expert advice to CO management and Administration Officer on internal policies and procedures related to the Asset management and monitor its consistent and correct application.Maintain the office inventory database (Global Equipment Management system, GEMS) and ensure that all equipment is labeled and recorded in GEMS with all necessary and accurate information according to the WFP rules and regulations. Maintain data integrity in the database, control programme, analyze results and initiate corrective actions when necessaryProvide expert advice to field offices and staff on asset management procedures and contribute to the development of compliance Standard Operating Procedures (SOP).Support the production of various data and compile and prepare reports in order to contribute to the provision of accurate information for informative decision-making and to support the effective and timely management of WFP resources.Report lost damaged or unserviceable property and organize documents to be presented to the Local Property Survey Board (LPSB) and draft the minutes with report on its implementation.Ensure that all assets are used with care and for the purpose intended, providing management with information on status of the same.Assist on management of Administration Non Food Items (NFIs) and stationary by producing the monthly report and monitoring its consumption.Alternate with other administration staff as required by the Head of Administration.Perform other duties as required
