GIZ- Internal/External Vacancy Announcement ‘#172/2023’ Environmental and Social Standards in the Textile and Clothing Industry Several projects in the cluster “Economic Transformation” are pooling their administrative and financial services in one Admin & Finance team that aims to deliver more efficient and professional services. All projects in the cluster have a common office building and need support in the area of Procurement and Contracts. The projects in the cluster jointly aim at enhancing productivity and supporting the growth of a robust and profitable economy to create more employment opportunities for young people in Ethiopia. Contract Duration: September 30, 2024Responsibilities and DutiesA. ResponsibilitiesThe Administrative Specialistprovides administrative services for the project. organizes the project activities related to travel, events, workshops, and trainings. ensures that administration regulations are complied with.Tasks1. Administrationprocurement of service related to events according to the GIZ rules and regulations.is responsible for organizing administrative and logistical aspects of project activities (meetings, workshops etc.) follow-up up on meetings, workshops, and training documentation (invoices,participant list and reports)hotel reservation and accommodation bookings for the project.ensures that computers and software’s are available and function properlymonitors the availability of accessories and stocks and initiates the procurement related to events and workshops is responsible for organizing the tickets, visa and other travel process for the project staff, partners, and visitors.is responsible for filing documents in reference files or in DMS in line with GIZ’s filing rules2. Coordinationensures that information is exchanged between project/cluster staff, partners, and other institutionsprepares and organises internal meetingsliaises with administrative and financial staff of the cluster as well as the GIZ country office in relation to administrative and events proceduressupport new colleagues in familiarization and working environment in the clustersupports short term experts with logistical aspects e.g. transport3. Other duties and additional tasksinform the colleagues on the changes in the PuR related to travel, events, and workshops. update the working forms and procedures.performs other duties and tasks as assigned.
