Balaya Children’s and Family Charitable Organization (BCFCO) is a community based, not for profit, non-religious and discrimination free indigenous humanitarian organization that exists to help the Deprived, Excluded and Vulnerable children  become productive, confident and responsible citizens, parents and leaders of tomorrow that directly involve and contribute for the development of the country. Balaya CFCO works in partnership with ChildFund Ethiopia. Therefore, we would like to invite interested and qualified applicants for the Admin Assistant and Store Clerk post.  Position Summary: Under general supervision, performs a variety of responsible and specialized administrative, office support and store functions; perform specialized reports, records, clerical works and files required in connection with the organization.BASIC DUTIES AND RESPONSIBILITIESAdministrative:Organize the correspondences (incoming and outgoing) and handle all secretariat work of the organization as requested by the Manager, Supervisor, department officesProvide a range of reception services, including managing visitors and callers to the Office and the other units in the Balaya CFCOFacilitate all bid process (writing, posting/announcement, opening etc) of the organization and create conducive environment during opening for bid/procurement committee and involve as a bid/procurement committee if assigned. Controls attendances register (time) and keep records of leave of the staff, and prepare monthly report to administration head, and other concerned leadership team.Make internal and/or external announcement of vacancies as required by the organization and collect applicants document to facilitate recruitment processProcesses fulfillment of employment formalities, checks employment records and follow up probationary period, periodic renewal of job contract agreement of staff;Establishes new personal files and records data of all newly recruited personnel and ensure that personnel records database (files) are kept up-to-date;Make sure that fringe benefit, leaves and termination benefits of personnel are effected based on the country’s law and the organization’s policy and procedures;Store:Handles incoming and outgoing stock to/from store and ensures that store requisition and issue vouchers are properly completed;Ensures the use of stock card for recording all items and make sure one stock card must be used for only one item;Handles goods receipts and properly stores and ensures that all the proper documentation is handled and managed in a professional way;Ensures storage areas are kept clean and organized at all times and reports immediately to the supervisor any problems relating to the safe storage of stock;Ensures timely and safe delivery of items/goods from the store to the departments;Carries out daily, weekly and monthly stock reconciliations;Reports and updates the stock balance weekly, monthly, and quarterly and submit to the finance and administrative departmentEnsures that material issue Note, Goods Receiving Notes and other related documents are properly managed and make sure that this document matches the actual quantity against physical count(Issued or received);Ensures that all GRNs are received from end delivery points on time;Reports any obsolete, damage, loss or missing items;Conducts inventory control/check periodically through physical count as per organization policy;Conducts periodic inventory of Fixed asset with the delegated person from department;Performs other duties assigned by the Supervisor.Number of Position:  1 (One)Terms of employment: One year Contract with the possibility of extension based on availability of fund and work performance.
