Internal/External Vacancy Announcement Description of the VacancyCommon Vision for Development Association (CVDA) is a partner with Mekdim Ethiopia National Association (MENA) and Mary Joy in Addis Ababa Administration, Sidam region and SNNPR respectively to implement the USAID Family focused USAID Family Focused HIV Prevention, Care and Treatment Services in Addis Ababa , Sidam region and SNNPR. The main purpose is to strengthen local HIV epidemic control to achieve 95 percent of individuals living with HIV know their status, 95 percent of persons living with HIV to initiate antiretroviral therapy and 95 percent of antiretroviral therapy clients achieve viral load suppression by 2020/21. HIV mitigation services for vulnerable children will focus on case discovery and linkage to HIV treatment among undiagnosed children living with HIV, on achieving better health outcomes through HIV viral load suppression and establishing interpersonal, family and community norms to achieve HIV and violence prevention (9 to 14-year-old children).JOB SUMMARYThe property management and office assistance is responsible for the maintenance of a organization’s storeroom, performing activities such as stocking of operational materials and supplies, inventory control and records, purchasing, and related duties as required. Major Duty Property Management Take delivery of all incoming materials and reconcile with purchase ordersTrack, document, and resolve any discrepancies on received ordersEnsure accuracy of the facility’s inventory system by updating records of physical inventory totals, receipts, adjustments, and returns. Manage inventory/supplies and ensure they are within the established minimum and maximum levelsKeep up-to-date records of receipts, records, and withdrawals from the stockroomResponsible for packing, pricing, labeling, and returning suppliesResponsible for stock rotation and coordinate the disposal of surplusesOversee the handling of freight, the movement of equipment, and minor repairsManage supplier relations and database as well as maintain high ethical relationships both internally and externallyCreate purchase orders and utilize purchasing card to perform low-value procurement activitiesResponsible for shipping cancelled or damaged items back to suppliers as appropriate. Office AssistancePerforms clerical duties, including, but not limited to, mailing and filing correspondence, placing orders, and answering callsInteracts with clients, visitors, and vendorsSorts and distributes incoming mailArranges meetings by reserving rooms and managing refreshmentsTypes correspondence, meeting notes, and forms among other documentsPhotocopies, scans, and files appropriate documentsEdits documents for accuracyMaintains accurate records and enters dataAssists with organising events when necessarySigns for delivered packages and distributes them to the appropriate recipient OthersPerform any other duties as assigned by supervisor that are in line with the general concept of this position.Provide a backup support in the absence of the Finance & Administration Manager Minimum Hours Of Work: 40 hours per week Report to: Finance and Admin Expert
