<p><span style="font-weight: bold;">Main Purpose</span></p> <p>The role of the Receptionist is to provide an efficient and professional service to all clients contacting the firm.</p> <p>The role of the Archivist is to be able to archive all files on to the system and to co-ordinate their storage and retrieval with Office Team File & Data, and to maintain all records relevant to the archive system.</p> <p><span style="font-weight: bold;">Key Tasks</span></p> <p><span style="font-weight: bold;">Receptionist Duties</span></p> <ul><li>Provide an efficient telephone/personal contact with clients in a professional and courteous manner</li><li>Ensure the tidiness of the reception area</li><li>Undertake general clerical duties such as maintaining interview room diaries, etc as required</li><li>Deal with customer enquiries and passing on to relevant fee earners</li><li>Take and pass on messages accurately and promptly</li><li>Log incoming cheques and cash securely, issue receipts and pass requests for credit card payments by phone to the finance department</li><li>Keep an accurate phone log of all incoming calls</li><li>Respond efficiently and promptly to requests for assistance from client/fee earner</li><li>Assist in the coordination of ad-hoc company functions/events</li></ul> <p><span style="font-weight: bold;">Archivist Duties</span></p> <ul><li>Entering closure/archive details onto the system database</li><li>Processing request for closed files from the archives</li><li>Keeping archive database up to date, ensuring all entries are accurately recorded</li><li>Collecting & recording all inbound documents and information</li><li>Ensuring sign off to responsible individuals of said documents dispersal </li><li>Managing & maintaining company archive as per instructions</li></ul>
